Bilingual Administrative & Project Management Assistant

The National Latina Business Women Association Inland Empire Institute is seeking a temporary/Independent Contractor Bilingual Administrative & Project Management Assistant based in the Inland Empire, CA.

Overview:

Bilingual Administrative & Project Management Assistant (English/Spanish) helps NLBWA-IE enrich the lives of Latina Entrepreneurs through educational and social programs that align with the Vision and Mission of the organization. Supporting the organization’s projects and community of NLBWA-IE members. As part of this role, the Administration & Project Management Assistant assists as the first point of contact for members and potential members. To ensure a high level of program participation and meet its reporting requirements with accuracy, this position is responsible for supporting in the telemarketing, and community outreach efforts of the marketing team.

  • Ability to convey the vision of NLBWA-IE and its strategic future to its stakeholders
  • A proactive, pro-solutions professional dedicated to NLBWA-IE’s mission
  • Strategize, oversee, and coordinate the successful planning, execution, follow-up, and evaluation of various educational, networking, and capacity-building programs
  • Evaluate existing programs and make appropriate recommendations/changes to improve processes and desired outcomes
  • Set timelines and due dates
  • Set program controls, governance, and standards
  • Implement and oversee recruitment project for the Latina Study, including impact outreach communications
  • Coordinate activities of consultants, affiliate members, and volunteers
  • Coordinate resources, equipment, meetings, and information to complete projects and accomplish goals
  • Monitor and manage the day-to-day detailed aspects and administrative duties of multiple projects through the entire program cycle using project management software
  • Manage and submit program documentation
  • Communicate with NLBWA-IE Executive Director to address potential risks
  • Solve problems and issues
  • Track program progress
  • Communicate program objectives, goals, and progress to Executive Director, Board of Directors, and NLBWA-IE stakeholders
  • Prepare and present progress and budget reports to Executive Director

Professional Qualifications: 

  • Bachelor’s degree or equivalent experience in Business Administration; Management; Marketing; Communications; Philanthropy/Non-Profit; Sociology; Economics; and/or Leadership
  • 3-5 years of experience in Program Management
  • 2-3 years of event planning experience

  • Functional proficiency with technology and software such as Microsoft Office suite: Outlook; Word; Excel; PowerPoint, Canva, Google Business Workspace, WordPress, eventbrite, Zoom, Google Meets, WebEx, etc.
  • Previous experience with nonprofit organizations

Specialized Skills:

Data Analytics

  • Responsible for all program data entry and analysis in keeping with strategic goals and to support quarterly and annual reporting
  • Works with executive staff, board of directors, and volunteers to ensure all documentation is submitted in a timely manner
  • Maintain quality control of member files to ensure program coordinators and facilitators are following enrollment requirements and complying with standard operating procedures and back up data reported
  • Solid, hands-on, budget management skills, including budget preparation, analysis, decision making, payment processing and reporting
  • Experience using CRM to manage membership growth

Marketing

  • Assists with posting program and event updates on the website
  • Coordinating outreach and brochure mailings physical and digital
  • Updating website
  • Survey members who have attended programs
  • Understanding of social media platforms and management using e-mail marketing tools, such as Mailchimp
  • Collecting information from members for the business directory and NLBWA-IE database
  • Coordinates the submission of events to media and community calendars
  • Managing orientations, interviews, intakes, surveys, and community outreach programs and marketing campaigns

Work Environment

  • This job operates in a professional office environment
  • This role routinely uses standard office equipment such as computers, phones, photocopiers, filing cabinets, and fax machines

Physical Demands:

  • Hybrid Work Setting (Virtual 3 Days, In Office
  • Serving Monday-Friday: Business hours 8 AM- 5 PM
  • Lift and carry up to 25 pounds without assistance
  • Sit at a computer, typing for 60-100% of the time
  • Reliable vehicle and current auto insurance
  • Willingness to travel as necessary for administrative tasks, meetings, and program events (maximum distance between chapters)
  • Availability to adjust the schedule to work occasional evenings and Saturdays
  • Comfortable using and maintaining office technology and software
  • Remote work opportunities when profession/roles permit and are not required to meet with members, train staff and volunteers, and/or teamwork

Compensation:

  • $18-$22/hour, depending on experience
  • Full benefits after a 90-day introductory period include health, vision & dental insurance reimbursement
  • Vacation & Sick Days
  • Travel/Commuting Reimbursement  +/- 20%
  • Remote work benefits
