Programs Coordinator Job Overview

Programs Coordinator helps NLBWA-IE enrich the lives of individuals through educational and social programs that align with the vision and mission of the organization. The coordinator oversees the entire schedule of program offerings, reviewing the effectiveness of current options and drafting proposals for new programs that may benefit the community that NLBWA-IE serves. As part of this role, the program coordinator ensures budget allocation and supports outreach strategies to provide high program participation and support. The program’s coordinator reports to the executive director, NLBWA-IE.

General Responsibilities:

  • Leads, oversees, and coordinates the successful planning, execution, follow-up up, and evaluation of various educational, networking, supplier development programs, and capacity-building programs.
  • Evaluate existing programs and make appropriate recommendations/changes to improve processes and desired outcomes.
  • Focus on developing and growing the Membership of the organization
  • Create programs process through Asana
  • Set up timelines and deadlines where appropriate for each event
  • Ensures marketing success, communication and program success is accomplished
  • Ensures programs successfully meet budgets, headcount goals, and profitability
  • Communicate and oversee recruitment project for the Latina Study, including impact calls
  • Create and publish a newsletter
  • Serve as liaison between UCR Micro MBA and Membership
  • Coordinate activities of consultants, affiliate members, volunteers, and buyers
  • Coordinate volunteers, speakers, trainers, resources, equipment, meetings, and information to complete projects and accomplish headcount and revenue goals
  • Monitor and manage the day-to-day detailed aspects and administrative duties of multiple projects through the entire program cycle
  • Create and submit program reports documentation at the end of each program to sponsors/partners.
  • Communicate with the NLBWA-IE Executive Director regarding each program to ensure attendance, budget, and revenue are met.
  • Communicate program objectives, goals, and progress to the Executive Director.
  • Track program process and solve problems or issues that may arise for each program
  • Prepare and present progress and budget reports to the Executive Director
  • Provide NLBWA-IE information at community events
  • Assist with Registration at all NLBWA-IE events.
  • Set up at Events
  • Order all materials necessary for setup

Professional Qualifications:

  • Bachelor’s degree in Business Management, or equivalent experience in Marketing, Communications, member management, or customer service
  • 3-5 years of experience in Program Management
  • 2-3 years of event planning experience
  • Outstanding customer service experience
  • Three (3) years of customer service experience
  • Two (2) years of phone outreach experience
  • Bilingual – Spanish

Specialized Skills:

  • Strong organizational abilities, including planning, delegating, program development, and task facilitation
  • Strong oral and written skills
  • Cold-calling, follow-up, tracking calls, recruitment
  • Solid, hands-on budget management skills
  • Problem-solving, conflict resolution, and multitasking skills
  • Ability to convey the vision of NLBWA-IE and its strategic future to its stakeholders
  • Skills to collaborate with and motivate NLBWA-IE affiliate members and volunteers
  • Experience using CRM and other event-planning software
  • Competency in Microsoft applications, Asana, Canva, G Business Suite, WordPress, event management software
  • Competency utilizing virtual platforms, such as Zoom, Google Meets, WebEx
  • Competency using e-mail marketing tools, such as Constant Contact and MailChimp
  • Understanding of social media platforms and management
  • Previous experience with nonprofit organizations

Supervisory Responsibility
This position has no supervisory responsibilities.

Work Environment
This job operates in a professional office environment. This role routinely uses standard office equipment such as computers, phones, photocopiers, filing cabinets and fax machines.

Physical Demands

Filing is required. This would require the ability to lift 15 lbs; open filing cabinets and bend or stand; take items to events – take and bring promotional/marketing items to events; as necessary.

Position Type and Expected Hours of Work
This is a full-time, on-site position. Days and hours of work are Monday through Friday, 8:00 a.m. to 5 p.m., with one-hour unpaid lunch. Occasionally, shift will change to accommodate meetings, programs, and events throughout the year.

Work Authorization/Security Clearance (if applicable)
Per the Immigration Reform and Control Act, an I-9 form must be completed upon hire. Certain special clearance may be required based on NLBWA-IE partner’s requirements.
