Administrative & Programs Assistant

Under the direct supervision of the Executive Director, this position provides administrative and project support for the Executive Director. In addition to making copies of board meeting packages and reports for directors, this individual will also assist the Executive Director in setting up appointments, membership management, typing, filing and scheduling, minute taking, obtaining supplies, coordinating direct mailings, helping with events, and working on special projects.

Essential Functions

1. Use CRM to manage membership growth.
2. Outreach to membership to renew membership, as well as potential members.
3. Respond to member questions and assist with member concerns.
4. Survey members who have attended the Emerging Latina Entrepreneur and Leadership program, the Business Management and Leadership Academy, the Micro MBA, and the Supplier Development program.
5. Assist with Research Projects
6. Assist with Registration at all NLBWA-IE events.
7. Training Programs
8. Provide NLBWA-IE information at community events
9. Set up at Events
10. Order all materials necessary for setup
11. On-site presence for members and partners for support and relationship-building

Specialized Skills:

  • Strong organizational abilities, including planning, delegating, program development, and task facilitation
  • Strong oral and written skills
  • cold-calling, follow-up, tracking calls, recruitment
  • Solid, hands-on budget management skills
  • Problem-solving, conflict resolution, and multitasking skills
  • Ability to convey the vision of NLBWA-IE and its strategic future to its stakeholders
  • Skills to collaborate with and motivate NLBWA-IE affiliate members and volunteers
  • Experience using CRM and other event-planning software
  • Competency in Microsoft applications, Asana, Canva, G Business Suite, WordPress, event management software
  • Competency utilizing virtual platforms, such as Zoom, Google Meets, WebEx
  • Competency using e-mail marketing tools, such as Constant Contact and MailChimp
  • Understanding of social media platforms and management
  • Previous experience with nonprofit organizations

Supervisory Responsibility

This position has no supervisory responsibilities.

Work Environment

This job operates in a professional office environment. This role routinely uses standard office equipment such as computers, phones, photocopiers, filing cabinets and fax machines.

Physical Demands

Filing is required. This would require the ability to lift 15 lbs; open filing cabinets and bend or stand; take items to events – take and bring promotional/marketing items to events; as necessary.

Position Type and Expected Hours of Work

This is a full-time, on-site position. Days and hours of work are Monday through Friday, 8:00 a.m. to 5 p.m, with one-hour unpaid lunch. Occasionally, shift will change to accommodate meetings, programs, and events throughout the year.

Travel

Travel is expected for this position up to 25%.

Required Education and Experience

  1. High school diploma.
  2. Three (3) years of administrative experience.
  3. Three (3) year of customer service experience
  4. Two (2) years of phone outreach experience
  5. Bilingual – Spanish

Preferred Education and Experience

  1. Associate’s degree.
  2. Five (5) years of related experience.
  3. Three (3) years of administrative experience.
  4. Three (3) year of customer service experience
  5. Two (2) years of phone outreach experience

Additional Eligibility Qualifications

  • Non-profit organizations experience a plus
  • Event planning and coordinating a plus

Salary range is $20.00+ based on experience.
